Summary of Position: 

The Executive Assistant assists and supports administrative functions within the Executive & Sales team. Individual must possess excellent organizational, administrative and communication skills, together with an ability to deliver high standards of customer service.

Duties & Responsibilities:


  • Schedule and coordinate meetings as requested by Executives.
  • Assist and prepare materials for Executives (to include Monthly Manager Meetings, Town Hall, and may assist in Sales Presentations as needed)
  • Confirm objectives for the meeting invites, participants, materials for all calendar needs
  • Export and prepares reports for Executives
    • Implementation Reports, Billing Summary Reports, Contract Renewal Reports
  • Organizes all Contract Repository and Tracking for Contracts and BAA's.
  • Assists with data entry and organization of the sales system aka Sales Force.
  • Assists with Client and Vendor On-Site Visits
    • Coordinate schedules, book conference rooms, provides food
  • Strict gatekeeper, answer, screen and direct incoming calls
  • Maintains calendars, contact lists, files and contracts
  • Provide direct daily support to President and other senior executives as needed
  • Assists with RedCard holiday gifts to Clients
    • creates spreadsheet and aids in execution of gifts for all RedCard clients
  • Assist with coordinating activities associated with industry tradeshows
    • Registration of sales representatives for various shows
    • Shipping of booth and marketing materials
    • Making hotel and travel arrangements
  • Aids in the ordering of marketing materials and premium items
  • Performs general office duties to support Admin and the entire office
    • Greet visitors
    • Order office supplies
    • Shipping and Mailing (USP, FedEx, Courier, and USPS)
    • Order food, etc
  • Support the Director of Administration & Facilities in coordinating and planning companywide events
    • holiday parties, company meetings, etc..
  • Help track and obtain receipts for the accounting department as it pertains to employees that have a company credit card
    • Breaks down all charges in excel for CFO and expense reports
  • Performs other duties as assigned
    • Run errands for the Executives
  • Follows established HIPAA, Compliance & Security policies
  • Work discretely with confidential information

Education & Experience:

  • Bachelor's degree in business, marketing or finance preferred
  • Highly adept at utilizing standard office equipment
  • Advanced knowledge of Microsoft Office Suite (Word, PowerPoint, Excel)
  • Tradeshow and marketing experience preferred
